Terms & Conditions
Coach & Minibus Private Hire




At Ritaat Al Hayat Ltd, we are committed to providing a safe, comfortable and professional
journey — whether you are travelling for a wedding, corporate event, private tour, or any
other occasion. These terms and conditions set out clearly what you can expect from us,
and what we ask of you in return. Please read them carefully before confirming your
booking.



1. YOUR BOOKING

When you make a booking with us, the person who places the booking (the hirer) takes full
responsibility for the group — including the conduct, decisions and actions of all passengers
throughout the journey, whether or not they travel themselves.

A named responsible person must be identified at the time of booking. If the hirer is not
travelling, a representative must be nominated and confirmed with us in advance. We can only
take instructions from the named hirer or their nominated representative.



2. QUOTES & CONFIRMATION

All quotations are based on the most direct route using information provided at the time of
enquiry. Quotes are valid for 28 days and cover the vehicle and driver only — any additional
costs will be clearly itemised.

A booking is only confirmed once you have received written confirmation from Ritaat Al Hayat
Ltd. We reserve the right to accept or decline any booking at our discretion.



3. PAYMENT

Full payment is required prior to the start of your hire, unless a deposit arrangement or
corporate credit facility has been agreed with us in advance. Where a deposit is required, the
remaining balance must be settled before the date of travel.



4. CANCELLATIONS BY THE CLIENT

We understand that plans can change. If you need to cancel, the following charges will apply:

We strongly recommend taking out appropriate travel or event insurance to protect against
unforeseen cancellations, particularly for weddings and large group bookings.



5. CANCELLATIONS BY US

Ritaat Al Hayat Ltd reserves the right to cancel a booking in exceptional circumstances beyond
our control, including but not limited to severe weather, road closures, civil unrest, or other
force majeure events. In such cases, all money paid will be returned in full and no further
liability will be accepted.



6. DEPARTURE TIMES & LATE PASSENGERS

Punctuality is essential to the service we provide. Agreed departure times will be confirmed in
your booking and our drivers will depart at the scheduled time. It is the hirer's responsibility to
ensure all passengers are present and ready to board at the agreed pick-up point before
departure.


   • Our vehicles depart at the agreed time. As a courtesy, drivers may allow up to 5 minutes,
   but this cannot be guaranteed. • Departing on time protects your journey schedule, respects
   other customers, and ensures our drivers remain within their legal working hours. • We
   accept no liability for passengers who miss departure or fail to follow the hirer's instructions. •
   For weddings and time-sensitive events, we strongly recommend building buffer time into
   your schedule.


If a late departure caused by the hirer's group results in the driver exceeding their legal working
hours, we reserve the right to make alternative arrangements, which may result in additional
costs to the hirer.



7. ROUTES & JOURNEY TIMES

Unless a specific route has been agreed and confirmed in writing, the route taken will be at the
driver's discretion based on road conditions and journey efficiency. Journey times are given in
good faith — we cannot guarantee arrival times and accept no liability for delays caused by
traffic, road closures, breakdowns, or other circumstances outside our control.

Additional mileage or time charges will only apply where a change to the agreed journey has
been specifically requested by the hirer. We will never levy additional charges for delays or
route changes that are not the result of the hirer's request.



8. DRIVER HOURS

Our drivers operate within strict legal working hour regulations. The hirer and passengers must
not delay, interrupt or extend the journey in a way that would cause the driver to breach these
regulations. We will never compromise on this requirement, regardless of the circumstances.



9. VEHICLE & FACILITIES

Ritaat Al Hayat Ltd reserves the right to substitute the booked vehicle for one of equivalent or
greater capacity at no additional charge, where necessary. On-board facilities — including
Wi-Fi, DVD, PA system, fridge, toilet and refreshment facilities — will be confirmed at the time
of booking.

On-board facilities such as Wi-Fi, DVD, PA system, fridge, toilet and refreshment facilities are
provided as a complimentary courtesy and are not included as part of the hire charge. As these
are offered at no cost, Ritaat Al Hayat Ltd accepts no liability and will not offer compensation in
the event that any such facility is unavailable or ceases to function during the journey.



10. PASSENGER CONDUCT & YOUR RESPONSIBILITIES

We take great pride in our vehicles and the safety and comfort of every passenger. The driver
has full authority over the vehicle at all times and may remove any passenger whose behaviour
poses a risk to others or to the vehicle itself.

The hirer is responsible for any damage or soiling caused by any member of their group for the
duration of the hire. This includes but is not limited to spillages, breakages and any condition
requiring specialist cleaning.


   • Specialist cleaning charge: £150 (e.g. removal of vomit, staining or disinfection of affected
   areas)


Additional daily costs may also be charged if the vehicle is required to be taken off the road as
a result of damage caused by your group.



11. ALCOHOL POLICY
Alcohol Policy

   For bookings where a deposit is required, a strict no-alcohol policy applies for the duration of
   the journey. Passengers may not carry or consume alcohol onboard. Ritaat Al Hayat Ltd
   reserves the right to refuse boarding or terminate the journey if this policy is breached, with
   no refund issued.


Drugs & Legal Highs Policy

   We operate a zero-tolerance policy on drugs and legal highs. If any controlled substances or
   legal highs are found on board or used by any passenger, the journey will be terminated
   immediately and the matter reported to the relevant authorities.



12. FOOD & DRINK

To maintain the high standard of our vehicles, food (other than confectionery) and alcoholic
drinks may not be consumed on board without our prior written consent. Non-alcoholic
beverages may be permitted at the driver's discretion. Please speak to us in advance if you
have specific requirements for your event.



13. LUGGAGE & PROPERTY

All luggage is carried subject to space and safety restrictions, and the driver has final say on
what can be loaded. Please notify us in advance if your group has large items, specialist
equipment, or items of significant value.

Ritaat Al Hayat Ltd takes reasonable care to prevent loss or damage to passenger belongings.
However, the hirer accepts responsibility for property left unattended on the vehicle. We
recommend that passengers keep valuables with them at all times.



14. CHILDREN

A minimum of two responsible adults must accompany any group that includes children, in line
with local education authority guidelines. Supervising adults must be distributed throughout the
vehicle — not seated together in one area. The driver may direct seating arrangements where
necessary.



15. ANIMALS

Animals are not permitted on our vehicles without prior written agreement. Registered guide
dogs are welcome provided we are notified in advance of the booking.
16. COMPLAINTS

Your satisfaction matters to us. If something is not right during your journey, please raise it with
the driver or contact our team directly so we can resolve it as quickly as possible.

If the matter remains unresolved, please submit a formal complaint in writing to the General
Manager within 14 days of the hire date. We will acknowledge your complaint promptly and
work with you to reach a fair resolution.
